At Xotiv, our team designed and developed a comprehensive sports organization management platform that streamlines player enrollment, coaching operations, program management, and organizational administration within a single digital ecosystem. The solution supports players, parents, coaches, and administrators through role-based web and mobile experiences, ensuring operational efficiency, transparency, and scalability.
The platform integrates registrations, document verification, payments, performance tracking, communication, and reporting—providing sports organizations with a centralized system to manage all aspects of their operations.
Client’s Overview
Modern sports organizations manage complex workflows involving players, parents, coaches, tournaments, classes, payments, and compliance documentation. Relying on manual processes or disconnected tools often leads to inefficiencies, errors, and poor user experience.
The client envisioned a digital-first platform that could unify sports operations, simplify administration, and enhance engagement for players, parents, and coaches. The goal was to create a scalable, secure solution capable of supporting multiple programs, teams, and organizations under a single system.
The Project
The project focused on building a multi-role sports management platform consisting of:
- Player & Parent portal (web/mobile)
- Coach panel for team, class, and performance management
- Admin/Organization panel for full system control
Each role was provided with clearly defined permissions and workflows while remaining seamlessly connected within one secure platform.
Key deliverables included:
- Player and parent onboarding with parental consent flows
- Document upload and manual verification (birth certificates, report cards, etc.)
- Program enrollment for classes, team play, and tournaments
- Secure payment, refund, and invoice management
- Coach panel for teams, schedules, stats, and communication
- Admin panel for user approval, content, finance, and reporting
- Notifications via email, SMS, and in-app alerts
- Downloadable performance and financial reports (PDF/CSV)
