At Xotiv, we designed and developed a robust Lead Management System (LMS) that automates and manages the complete lead lifecycle—from initial lead upload to final sale confirmation. The solution streamlines lead handling across multiple departments through role-based dashboards, automated lead distribution, and structured approval workflows.
The platform ensures transparency, security, and operational efficiency by combining workflow automation, controlled data access, and real-time analytics. Client’s Overview
Organizations that rely on inbound and outbound leads often struggle with fragmented processes, manual tracking, and limited visibility across departments. Managing leads through spreadsheets and disconnected tools leads to inefficiencies, delayed follow-ups, and inconsistent reporting.
Our client required a centralized system that could manage leads across multiple providers and teams, enforce role-based access, and provide clear insights into performance and conversion metrics. The objective was to create a secure, scalable, and easy-to-use platform that improves productivity, accountability, and decision-making across the entire sales lifecycle.
The Project
The project focused on building an end-to-end Lead Management System that supports multiple user roles, each aligned to a specific stage of the lead journey.
Leads are uploaded by the Admin and automatically distributed to Lead Generators (LGs). As leads progress through dispositions such as “Sale Made” or “Cancelled,” they move through Funding Officers (FO), Senior Funding Officers (SFO), Customer Recovery (CR), and final Manager approval—ensuring a structured and auditable flow.
Key deliverables included:
- Centralized lead upload and distribution engine
- Role-based dashboards for Admin, LG, FO, SFO, CR, and Manager
- Automated lead progression based on dispositions
- Notes, call-back scheduling, and file upload capabilities
- Manager approval workflow for recovered sales
- Comprehensive reporting and analytics dashboards
- Security features including IP whitelisting and audit logs

Special attention was given to data privacy and access control—ensuring users only see information relevant to their role. The platform was designed to handle complex lead flows while keeping the user experience intuitive and efficient.
